Privacy Policy & GDPR Compliance Statement

Last updated: 28 September 2026

This Privacy Policy explains how Co-Clens collects and uses personal information through our website www.coclens.co.uk and in the course of our business, and the rights you have over that information.

Who we are

This website is operated by Coclens Ltd, trading as Co-Clens (“we”, “us” or “our”). Coclens Ltd is a company registered in England and Wales with company number 13163968, whose registered office is at Cod Beck Estate, Dalton, Thirsk, North Yorkshire, YO7 3HR.

Coclens Ltd is the data controller responsible for your personal information. You can contact us about this policy or your personal information at enquiries@co-clens.co.uk.

Co-Clens manufactures and supplies healthcare hygiene products to the NHS, healthcare providers, trade customers and distributors. Our website is intended for business and professional users, not for children.

What personal information we collect

When you contact us or submit an enquiry. Our enquiry forms (on the Trade Accounts, Export Distributors, Price List and Contact pages) ask for your name, email address and enquiry, and optionally your company name and phone number. Our sell sheet request form asks for your name, email address, the sell sheet you would like, and optionally your company name and a message. We also receive the information you give us when you email or phone us.

When you become a customer. If you open a trade account or buy from us, we hold the business contact details of the people we deal with, delivery and invoice addresses, and records of orders, deliveries, invoices and payments.

When you visit our website. If you accept analytics cookies, Google Analytics collects information about how you use our website, such as the pages you visit, how you arrived, the type of device and browser you use, and your approximate location. It does not identify you by name and does not store your IP address. See our Cookie Policy for details.

How we use your information and our legal basis

Data protection law requires us to have a legal basis for each use of your personal information. We use it:

  • to respond to your enquiry, send you the information or price list you asked for, and set up a trade account – because it is in our legitimate interests to respond to business enquiries, or because you have asked us to take steps before entering into a contract;
  • to supply products, arrange delivery, invoice and provide customer service – because this is necessary to perform our contract with you or your organisation;
  • to keep business and accounting records – because we are legally required to;
  • to understand how our website is used so we can improve it – only with your consent, given through our cookie banner.

We do not currently send marketing emails. If we start to, we will update this policy first and give you an easy way to opt out.

We do not sell your personal information, and we do not use it for automated decision-making or profiling.

Who we share your information with

We only share personal information where necessary, with:

  • our manufacturing and distribution partner, Cod Beck Blenders, where needed to process and deliver your order;
  • service providers who support our business, such as our website host, email provider, and Google (for Google Analytics). They may only use your information on our instructions;
  • our professional advisers, such as accountants and lawyers, where needed;
  • regulators, law enforcement or other authorities where we are required by law.

International transfers

Some of our service providers, including Google, may process information outside the UK. Where this happens, we rely on the safeguards required by UK data protection law, such as UK adequacy regulations or approved contract terms.

How long we keep your information

  • Customer and order records: six years from the date of supply, to meet our legal and accounting obligations.
  • Enquiries that do not lead to an order: up to two years from our last contact with you.
  • Google Analytics: detailed data linked to an analytics cookie is automatically deleted after 2 months (activity data) or 14 months (visitor data). After that, we keep only aggregated statistics that do not identify anyone.

Keeping your information secure

We take appropriate technical and organisational measures to protect your personal information against unauthorised access, improper use or disclosure, unauthorised modification, and accidental loss or destruction. Our staff and service providers who handle personal information are required to keep it confidential.

Your rights

Under UK data protection law (the UK GDPR and the Data Protection Act 2018) you have the right to:

  • access the personal information we hold about you and receive a copy;
  • rectification – ask us to correct information that is inaccurate or incomplete;
  • erasure – ask us to delete your information where we no longer need it or you withdraw consent;
  • restrict processing – ask us to limit how we use your information, for example while you contest its accuracy;
  • data portability – receive information you have given us in a structured, commonly used, machine-readable format, or ask us to transfer it to another organisation;
  • object to us using your information on the basis of our legitimate interests, and to direct marketing at any time;
  • withdraw consent at any time where we rely on your consent, for example for analytics cookies, using the cookie settings.

To exercise any of these rights, email enquiries@co-clens.co.uk. We will respond within one month. There is normally no charge.

Complaints

If you have a concern about how we handle your personal information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
